How Loggad handles your information
Loggad is a service that remembers your house, car, boat and whatever else you own. Here we explain in plain words what we keep, where it is processed, who helps us, and what you can do yourself.
Who is responsible
Loggad Solutions AB (company registration number 559598-9186) is the data controller. Address: Undravägen 80, 761 72 Norrtälje, Sweden. Registered office: Norrtälje, Stockholm County. Questions about your information: privacy@loggad.se.
What we keep
- Your account. An account is created when you activate a QR badge or accept an invitation. You sign in with a passkey on your phone or computer; we keep no password. We keep the name and email address you choose to give, your language and your settings.
- What you give Loggad. Photos, documents (for example receipts, manuals and service records), your answers and what you type.
- What Loggad writes down. What Loggad reads from your photos and documents, such as the model, the year and when something was done, together with where it came from.
- Your questions and the answers. Conversations in Ask are kept in your account.
- Credit. How much question credit you have and what each question cost.
- Your pilot application. If you apply to the pilot on loggad.se: your email address, what you tapped and anything you chose to write.
- Answers you report. If you tap thumbs up or down, or report a fault, we keep that together with what you wrote about it.
- Technical information. What the service needs to work and stay secure, such as sign-in sessions, error logs and security logs with an IP address and browser information.
About photos
- We keep the original photo exactly as you took it, including any location (GPS) information in the file. Loggad's AI is only sent a copy without that information.
- Someone you invite to a journal can get access to the original photo.
- Text visible in a photo, such as a number plate, can become searchable in the journal even if Loggad did not write it down.
The journal belongs to the house, car or boat
A journal belongs to the house, car or boat, not to a person. If you hand the house, car or boat over to a new owner, the journal goes with it: photos, documents, what Loggad wrote down and what you and others told it. The new owner can see it. Your conversations in Ask stay in your own account and do not go with it.
Someone you invite to a journal can see and ask about what is in it. You can remove anyone's access whenever you like.
Information about you may also come from other people using a journal, a photo or document they add, a previous owner, or public sources Loggad searches. Loggad may record conclusions from that material. We handle this information based on our legitimate interest in maintaining the journal's history and helping people entitled to use it, after balancing that interest against your privacy. You can contact privacy@loggad.se even if you do not have an account.
Where your information is processed, and who helps us
The journal, your account and all files are stored in Microsoft Azure in Sweden (the Sweden Central region).
We use suppliers to operate Loggad. Some also process technical information for their own security and operations under their terms.
| Provider | What they do | What they receive | Where |
|---|---|---|---|
| Microsoft (Azure) | Running the service: servers, database, files, backups, logs | Everything stored in Loggad | Sweden |
| OpenAI | Loggad's AI during the pilot: reads photos and documents, answers questions | Questions and parts of earlier conversations, the photo copies, document text and journal information needed for the task, and location and weather when needed. Loggad may also work on the journal when you have not just asked a question. | United States |
| Microsoft (Azure OpenAI) | Loggad's AI when we are not using OpenAI, and the search that finds the right place in your journal | The same as above | EU |
| OpenAI (web search) | When Loggad searches the web, for example for a manual | The search query, which may contain information from the journal or your conversation (not your photos) | As for OpenAI above |
| Microsoft (Azure Maps) | Finds where the house, car or boat is, and its time zone, for weather and dates | An address you type, or a photo’s position when you ask to set where the house, car or boat is from it | EU geography endpoint (eu.atlas.microsoft.com) |
| MET Norway (Norwegian Meteorological Institute) | The weather forecast for where the house, car or boat is | The location's coordinates | Norway |
| Microsoft (Microsoft 365, Teams) | Shows pilot applications, journal activation and access, and fault reports to us founders | See the paragraph below | Sweden (EU) |
| Apple, Google, Mozilla, Microsoft | Delivering notifications to your device, if you turned them on | The notification, encrypted so they cannot read its content, and technical delivery information | Depends on your browser |
The pilot period. During the pilot, OpenAI processes information in the USA. We use OpenAI's data processing agreement. It includes EU standard contractual clauses for transfers that require those safeguards. OpenAI's web search is also part of that service and agreement. Email privacy@loggad.se for information about the transfer or a copy of the safeguards.
OpenAI normally does not use API data to train its models. OpenAI may keep questions, answers and related information for abuse prevention for up to 30 days, and longer where law or protection from serious harm requires it. Deleting information at Loggad therefore does not always remove a supplier's copy on the same day.
Microsoft. Microsoft stores service information in the regions listed here. Some processing for operations, support and security may take place outside the EEA under Microsoft's agreements. Those transfers are protected by the transfer mechanisms and standard contractual clauses applicable to the service. You can ask us for more information or a copy of the safeguards.
Microsoft Teams. We two founders use Microsoft Teams to read pilot applications, follow journal activation and access, and handle fault reports. An application contains your email address and what you chose or wrote. An account event may contain an account reference, the badge code, access level and time. When you report an answer, we receive parts of the question and answer and your comment. We do not automatically add your name or email address to that report, but they may appear in its text. A page report may also contain the page address, error information and a link to a screenshot you chose to attach.
We have a rule that deletes these Teams messages after 90 days. Microsoft's deletion runs in the background and can take additional time. Other retention requirements may apply if particular information must be kept by law.
Web search. Under Web search in your account settings, you can turn off web search for new conversations in Ask. Conversations that have already started may still search. The setting does not cover Loggad's work to read and review the journal; that work may also use web search. Search queries may contain information from the journal or your conversation.
Notifications. If you turn on notifications, your browser uses a notification service from Apple, Google, Mozilla or Microsoft. The message is encrypted between Loggad and your browser, so the notification service cannot read its content. The service still receives technical delivery information, such as a delivery address and when the message is sent. Your browser may also give the service an IP address and other connection information.
Email. Loggad does not send or receive email today. When enabled, Lettermint (the Netherlands, processed in the EU) will send account emails and receive mail forwarded to a journal’s private address, including its sender, message and attachments. Received original emails and attachments are kept by Lettermint for 28 days; Loggad keeps accepted content with the journal’s documents.
We never sell your information and use no advertising networks, ad trackers or cookies for visitor statistics.
Why we may process the information
- To provide the service (contract): account, journal, photos, questions, credit.
- For security and operations (legitimate interest): logs, backups, protection against misuse.
- Your pilot application (legitimate interest, and steps at your request before a contract): to choose participants and reply to you.
- Reported answers (legitimate interest): to find and fix mistakes in Loggad's answers.
- Notifications (consent): only if you turn them on, and you can turn them off whenever you like.
How long we keep it
- We keep your account and your conversations for as long as you have the account.
- A journal is kept for as long as it stays with Loggad, including after a change of owner.
- The pilot application in Loggad's database is kept for 12 months from the first application, or erased earlier where your request must be honoured.
- The text and an attached screenshot in a fault report are normally removed after 90 days; a record of the report itself may remain as long as needed to explain a credit adjustment.
Logs
We keep request and error logs for up to 90 days to find repeated faults and check that they are fixed. Server operational logs are kept for 35 days. Security logs, which may contain IP addresses, browser information and account links, are kept for up to 90 days to detect and investigate unauthorised use. To compare patterns over time, we may keep limited information without IP addresses or other direct identifiers for up to 12 months. It may still be personal information and receives the same protection. Statistics that can no longer be linked to anyone may be kept longer. For a particular incident, we may need to retain relevant information longer while an investigation or legal claim requires it.
Backups and what deleting means
We take backups so that we can restore Loggad if something goes badly wrong. Backups are never edited afterwards. This means something you deleted can remain in a backup until that backup expires on its own:
- Backups may contain erased information for up to 35 days after it has actually been deleted from the database.
The backups are stored in Sweden, are encrypted and are only used to restore the service after a serious failure.
When you remove a document, it disappears from ordinary views and is no longer used when Loggad searches the documents. You can undo removal for 30 days; the document is then erased. Information already written into the journal may remain. If you placed an account document in a journal, that journal has its own copy. To request erasure of personal information in those records or copies too, email privacy@loggad.se. We assess what must be erased and whether anything must be retained, and explain our response.
What you can do
- Get a copy. As the owner you can download a journal under Manage this journal → Download journal data. The copy contains the original files, copies without location information, and what Loggad wrote down, with its sources. It does not contain your account, your Ask conversations or your credit. If you want those too, email us.
- Correct. If something in the journal is wrong, tap “Not right” on that line.
- Delete. You can delete documents kept in your account. To delete a whole journal or your whole account, email privacy@loggad.se and we will do it. Remember that deleted information can remain in backups as described above.
You can request access to your personal information, have errors corrected and ask us to erase information or restrict how we use it. You can also object to processing based on our legitimate interest for reasons relating to your situation. In some cases, you can receive information you gave us in a format that can be moved to another service. Email privacy@loggad.se and we will help. We normally respond within one month. If a request needs more time, we explain why within the first month. You can withdraw your consent to notifications at any time by turning them off; this does not affect what was already done with your consent. You can complain to the Swedish Authority for Privacy Protection, imy.se.
Cookies and browser storage
We use a sign-in cookie that renews when you use the service and lasts for up to 14 days without activity, and cookies that protect forms and temporarily show the result of a pilot application. Your browser stores settings, the journal you last opened and whether you have already answered the notification question. These remain until overwritten or the browser's storage is cleared. Temporary information helps handle interrupted attempts and updates. App program files may also be stored in the browser so it opens quickly; some of these files can remain for up to a year. We use no cookies for advertising or visitor statistics.
Changes
If we change something important here, we will tell you in Loggad before it applies.
